USE OF GASOLINE CREDIT CARDS

(This policy does not apply to North Carolina Motor Pool Vehicles)

GENERAL

Credit cards owned by the State of North Carolina (A&T State University) may be used while traveling outside of the immediate area, while conducting University related business.

PROCEDURE FOR ACQUIRING

University owned credit cards are maintained by the Physical Plant Department of the University. Credit cards are issued only for out-of-town travel. Before a credit card can be issued, the requester must have an active, blanket purchase order issued to the Physical Plant Department that will cover all costs of credit card usage. Credit card charges may not exceed the amount of the blanket purchase order. Credit card(s) and gasoline receipt(s) must be turned in to the Physical Plant immediately upon completion of travel. This should be done within a 24-hour period after completion of travel. Failure to comply will result in a revoking of the credit card privileges.

BILLING PROCEDURE

Invoice(s) will be submitted by Physical Plant to Accounts Payable charging the active purchase order for gasoline purchased.

EXEMPTIONS

Departments that operate more than five vehicles and presently have gasoline credit cards from major oil companies may be exempt from this policy.
