ESTABLISHING A CONTRACTS
AND GRANTS ACCOUNT
PURPOSE
The purpose of this statement is to provide assistance
and direction for establishing an account in the Contracts and Grants Office.
GENERAL GUIDELINE/APPLICABLE POLICIES
1. To establish a new contract or grant account, a Request for New Account Form must be submitted to the Office of Contracts and Grants.
2. For awards processed through the Division of Research; included with the Request for New Account form will be Form AP-1, Budget Create, Form, Employee Labor Cost Sharing Form, if applicable, and copies of the award document and proposal inclusive of any negotiated budget changes.
3. Request for new accounts not processed through the Division of Research should include a copy of the information from the awardee or donor if applicable.
PROCEDURES
Establishing a Contract or Grant Account
1. Once the Division of Research has a signed award document, a start up conference is scheduled. This conference will include the Project Director, and the Post Awards Officer in the Division of Research and the Accountant from Contracts and Grants who will be responsible for the account.
2. The Division of Research will request an account number from Contracts and Grants prior to the start up conference.
3. During the start up conference, the post awards office will provide the account number and instructions for completing the forms included in the start up package.
4. Deadlines for submitting reports, requesting budget revisions and extension as well as any special terms and conditions will be reviewed.
5. The Principal Investigator/Project Director will complete the required forms, obtain necessary signatures, and return the forms to the Division of Research.
6. The Division of Research will process the forms, sign them, include a copy of the award document and the proposal and transmit the packet to the Office of Contracts and Grants.
7. For awards or funds not processed through the Division
of Research, the individual requesting a new account will complete the
Request for New Account Form (Form) obtain the appropriate signatures and
submit the forms to the Office of Contracts and Grants. Information from
the sponsor or donor must be included with the Request for New Account
Form.
FORM
The start up form inclusive of the request for new Account
Form will be given to the Principal Investigator/Project Director during
the start up conference. Others can obtain the necessary forms from the
Office of Contracts and Grants.
